Terms & Conditions
By booking a Studio Luna in-person workshop or engaging Studio Luna for a customised workshop experience (“Workshop”), you acknowledge that you have read, understood, and agreed to these Terms and Conditions (“Terms”).
These Terms apply to individuals, private groups, organisations, brands, institutions, and other entities participating in or engaging Studio Luna for a Workshop (“Participant”, “Client”, “you”, “your”).
For customised Workshop experiences, these Terms should be read together with the relevant quotation, proposal, invoice, booking confirmation, or other written agreement issued by Studio Luna (“Project Agreement”). Where there is any inconsistency between these Terms and a Project Agreement, the specific terms of the Project Agreement will take precedence.
A booking or engagement is confirmed only when Studio Luna has received the required payment or deposit and issued written confirmation.
Please read these Terms carefully before completing your booking or confirming a customised Workshop.
1. Booking & Payment
Individual Workshop Bookings
Workshop places may be secured through the payment methods specified by Studio Luna at the time of booking.
Where payment is made by bank transfer, payment details will be provided by Studio Luna upon booking or invoice.
A place is not considered confirmed until payment has been received and acknowledged by Studio Luna.
Unpaid or unconfirmed bookings may be released to other participants without further notice.
Customised Workshop Experiences
Customised Workshops are arranged on a project-by-project basis and are subject to Studio Luna’s availability and acceptance of the proposed project.
Studio Luna may provide a quotation, proposal, or project fee based on the agreed scope, number of participants, duration, location, materials, preparation, travel, staffing, and other requirements.
A customised Workshop will only be confirmed once the Client has accepted the quotation or proposal and paid any required deposit or advance payment.
Unless otherwise agreed in writing, the balance of the project fee is payable before the Workshop takes place.
Additional costs arising from changes to the agreed scope, additional participants, materials, venue requirements, travel, delivery, accommodation, or other client requests may be charged separately.
2. Customised Workshop Scope
Each customised Workshop is developed according to the agreed brief and requirements stated in the Project Agreement.
The proposed activities, materials, duration, number of participants, venue, deliverables, and fees will be agreed in advance wherever reasonably practicable.
Studio Luna reserves the right to make reasonable adjustments to the Workshop where necessary due to venue conditions, material availability, safety considerations, or other circumstances beyond our reasonable control.
Requests that materially change the agreed scope may require a revised quotation, additional fees, or a revised schedule.
Studio Luna is not obliged to proceed with additional work or requests that have not been agreed in writing.
3. Cancellation, Refunds & Rescheduling
Individual Workshop Bookings
Workshop bookings are generally non-refundable and non-transferable, except where otherwise stated in these Terms or where Studio Luna is unable to proceed with the Workshop.
If you are unable to attend, please inform Studio Luna as soon as possible.
At Studio Luna’s discretion, you may transfer your place to another person or request to attend the next available open-date Workshop, subject to availability.
An administration fee of SGD 60 applies to each approved rescheduling request.
Each booking may be rescheduled once only.
If a Participant chooses not to attend or leaves before the Workshop has concluded, no refund or partial refund will be provided.
Customised Workshop Experiences
Cancellation and rescheduling terms for customised Workshops will generally be set out in the relevant Project Agreement.
Where no specific cancellation terms have been agreed, any deposit paid to secure a customised Workshop may be non-refundable where Studio Luna has already committed time, resources, materials, preparation, or third-party costs to the project.
If a Client requests to postpone or reschedule a customised Workshop, Studio Luna will make reasonable efforts to accommodate the request, subject to availability.
Additional costs resulting from a postponement or rescheduling, including venue, travel, materials, accommodation, delivery, or other third-party costs, may be charged to the Client.
If a Client cancels a confirmed customised Workshop, the Client may be responsible for fees or costs already incurred by Studio Luna in preparing for the project.
Studio Luna will provide details of any applicable cancellation fees or non-refundable deposits in the Project Agreement wherever practicable.
4. Workshop Changes, Postponement & Cancellation by Studio Luna
Studio Luna makes every reasonable effort to conduct each Workshop as agreed. However, we reserve the right to make reasonable changes to the date, time, venue, programme, materials, or format where circumstances require.
For open-date Workshops, Studio Luna may reschedule or cancel a Workshop if the minimum number of participants required to proceed is not met.
Where Studio Luna cancels an open-date Workshop, participants will be offered either a place at a rescheduled Workshop or a full refund of the Workshop fee.
Where a full refund is due, Studio Luna will process the refund within 30 calendar days of the cancellation.
In the event of unforeseen circumstances that make it unreasonable or impossible to conduct a Workshop as planned, Studio Luna may postpone or cancel the Workshop.
Where Studio Luna cancels a Workshop, the Workshop fee paid to Studio Luna will be refunded. Studio Luna will not generally be responsible for additional expenses incurred by participants or Clients, such as travel, accommodation, venue, or other third-party costs, unless otherwise agreed or required by law.
5. Client & Participant Responsibilities
Participants are expected to:
behave respectfully towards Studio Luna, instructors, other participants, venue staff, and members of the public;
follow reasonable instructions relating to the Workshop and venue;
comply with applicable health and safety requirements;
take reasonable care when handling art materials, tools, equipment, furniture, and venue property;
not bring hazardous, illegal, or dangerous items to the Workshop; and
take reasonable responsibility for their personal belongings.
For customised Workshops, the Client is responsible for:
providing accurate information about the event, venue, intended audience, number of participants, and relevant requirements;
ensuring that the venue is suitable and appropriately prepared for the Workshop;
obtaining any necessary venue permissions or approvals;
providing reasonable access to the venue for Studio Luna and any agreed setup or preparation time;
informing Studio Luna in advance of any relevant venue restrictions, allergies, accessibility requirements, or safety considerations known to the Client; and
ensuring that participants comply with reasonable Workshop and venue guidelines.
Studio Luna reserves the right to ask a Participant to leave where their conduct creates a safety risk, causes significant disruption, or materially affects the experience of others. In such circumstances, no refund will be provided.
The Client may be responsible for the cost of repairing or replacing venue property or Studio Luna equipment damaged through the Client’s or Participant’s negligence or intentional misconduct.
6. Venue, Travel & Additional Expenses
For customised Workshops held at a Client’s premises or another third-party venue:
The Client is responsible for ensuring that the venue is suitable for the agreed Workshop.
Unless otherwise agreed, the Client is responsible for venue hire, permits, parking, security, furniture, tables, chairs, power supply, lighting, and other venue-related requirements.
Studio Luna may charge separately for travel, transportation, delivery, accommodation, setup, dismantling, or other expenses where applicable.
Any third-party costs incurred specifically for the Workshop may be charged to the Client where agreed in advance.
7. Workshop Materials & Intellectual Property
All Workshop materials created or provided by Studio Luna, including teaching notes, guides, demonstrations, written materials, images, slides, illustrations, templates, and other instructional content, remain the intellectual property of Studio Luna or their respective rights holders.
Workshop materials provided to Participants are for personal, non-commercial use only, unless otherwise agreed in writing.
Participants and Clients may not reproduce, copy, modify, adapt, repurpose, distribute, publish, sell, teach from, commercially exploit, or otherwise use Studio Luna’s Workshop materials, illustrations, artwork, demonstrations, or instructional content without prior written permission.
This restriction includes uploading, submitting, scanning, digitising, or otherwise using Studio Luna’s illustrations, artwork, Workshop materials, or other creative content as inputs, references, training materials, or prompts for generative artificial intelligence (“AI”) tools or applications, where such use results in the generation, adaptation, reproduction, or commercial exploitation of derivative or substantially similar content.
Participants and Clients may not use AI-generated or AI-assisted reproductions, adaptations, or derivatives of Studio Luna’s artwork, illustrations, teaching materials, or other creative content for commercial purposes or represent such work as original work created independently of Studio Luna.
Unless otherwise agreed in writing, participation in or commissioning of a Workshop does not transfer ownership of Studio Luna’s underlying intellectual property, teaching methodology, artistic processes, or original creative materials to the Client.
Where a customised Workshop involves commissioned artwork, branded materials, or other creative deliverables, any ownership, licensing, reproduction, or usage rights will be determined by the applicable Project Agreement.
8. Client Materials, Branding & Content
For customised Workshops, the Client may provide logos, brand assets, images, text, product samples, or other materials for use in the Workshop.
The Client confirms that it has the necessary rights and permissions to provide such materials and authorises Studio Luna to use them solely for the agreed Workshop.
The Client remains responsible for ensuring that any materials it supplies does not involve the use of AI generation applications and do not infringe the rights of any third party.
9. Photography & Filming
Studio Luna may photograph or film portions of a Workshop for documentation and promotional purposes.
Where identifiable photographs or video recordings of Participants are intended for promotional use, Studio Luna will seek the appropriate consent.
Participants who do not wish to appear in promotional photographs or recordings should inform Studio Luna before or during the Workshop, where reasonably practicable.
For customised Workshops, Clients who require specific photography, filming, confidentiality, or publicity arrangements should notify Studio Luna before the Workshop. Any agreed restrictions should be documented in the Project Agreement.
Participants may take photographs for their own personal use, provided that this does not disrupt the Workshop or capture another Participant’s personal information or work without permission.
Participants and Clients may not commercially reproduce, publish, or distribute recordings of Studio Luna’s demonstrations or instructional content without prior written permission.
10. Health, Safety & Accessibility
Participants should inform Studio Luna in advance of any relevant accessibility requirements, allergies, or other considerations that may reasonably affect their participation.
Participants are responsible for informing Studio Luna of any condition or circumstance that may affect their ability to participate safely.
Participants must follow all reasonable health and safety instructions provided by Studio Luna and the venue.
Studio Luna reserves the right to make reasonable adjustments to activities, materials, or arrangements where necessary for safety or accessibility.
For customised Workshops, the Client should provide Studio Luna with relevant information about the venue, participants, and any known safety considerations before the Workshop.
11. Limitation of Liability
Studio Luna will take reasonable care in planning and conducting each Workshop.
To the extent permitted by Singapore law, Studio Luna will not be liable for loss or damage arising from circumstances beyond its reasonable control or from a Participant’s or Client’s failure to follow reasonable instructions.
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited under applicable law.
Subject to the above, Studio Luna’s total liability arising from an individual Workshop booking will not exceed the amount paid by the Participant for that Workshop.
For customised Workshops, unless otherwise agreed in the Project Agreement, Studio Luna’s total liability arising from the engagement will not exceed the total fees paid or payable to Studio Luna for the relevant Workshop.
12. Personal Data & Privacy
Studio Luna collects and uses Participants’ and Clients’ personal data for purposes including booking administration, payment processing, Workshop communication, project administration, and other purposes described in Studio Luna’s applicable Privacy Policy.
Where personal data is used for promotional or marketing purposes, the relevant consent requirements will apply.
Participants and Clients may contact Studio Luna regarding the collection, use, or disclosure of their personal data in accordance with the applicable Privacy Policy.
13. Confidentiality
For customised Workshops, where the Client shares confidential, commercially sensitive, or unpublished information with Studio Luna, Studio Luna will take reasonable steps to treat such information as confidential.
If a Client requires specific confidentiality obligations or a non-disclosure agreement, these should be agreed in writing before the Workshop or project commences.
14. Force Majeure
Studio Luna will not be responsible for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, severe weather, fire, epidemic or pandemic-related restrictions, war, civil unrest, governmental action, venue closure, or other circumstances that make it unreasonable or impossible to conduct the Workshop as planned.
Where a Workshop cannot reasonably proceed due to such circumstances, Studio Luna may reschedule or cancel the Workshop in accordance with these Terms and the applicable Project Agreement.
15. Governing Law
These Terms and any Project Agreement between Studio Luna and the Participant or Client are governed by and construed in accordance with the laws of Singapore.
Any dispute arising from or in connection with these Terms or a Workshop will be subject to the applicable jurisdiction of the courts of Singapore.
